SALARY WILL BE DETERMINED IN ACCORDANCE WITH CURRENT PAY POLICY. EMPLOYEES ARE NORMALLY HIRED AT THE MINIMUM OF THE SALARY RANGE.

The Florida Department of Corrections (FDC) is the 3rd largest state prison system in the country with a budget of 2. 4 billion, approximately 97,000 inmates incarcerated and another 167,000 offenders on active community supervision. The DC has 151 facilities and more than 24,000 staff members statewide, making it the State s largest agency.

SPECIFIC DUTIES AND RESPONSIBILITIES:

The incumbent in this position is expected to become familiar in the department s reentry initiatives; display leadership skills that demonstrate the department s commitment to reentry efforts while maintaining a professional demeanor. The incumbent in this position is expected to perform other duties as necessary.

Plans, initiates and carries to completion all secretarial, clerical and office management responsibilities, i. e., coordinates and carries through on projects and special assignments to the various institutions to ensure completion of same. Ensures all deadlines are met on a timely basis. Maintains Department of Correctional Policy and Procedure Directives, Department of Corrections Rule Book and related policy and procedure documents.

  • Researches and prepares reports as directed by the Regional Director.
  • Receives incoming mail for Regional Director. Composes replies not requiring the personal attention of the Regional Director. Independently composes and signs letters of acknowledgement and notification for the Regional Director.
  • Takes all incoming call for the Regional Director, screens calls and researches to provide the necessary information to caller in those instances where the Regional Director s personal attention is not required.
  • Serves as recording secretary for Regional Director s meetings, prepares minutes in final form for distribution. Maintains Regional Director s calendar and itinerary and schedules meetings, conferences and appointment and keeps the Regional Director informed. Makes travel arrangements, prepares expense vouchers and expense reports.
  • Researches and prepares reports as directed by the Regional Director for review and information. Obtains, researches and organizes substantive information for use by the Regional Director for conferences, meetings, speeches, etc.
  • Maintains a comprehensive suspense filing system.

    KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to communicate effectively.
  • Skill in typing.
  • Knowledge of standard business formats and styles for letters and business forms.
  • Knowledge of correct spelling, punctuation and grammar usage.
  • Knowledge of office procedures and practices.
  • Knowledge of basic arithmetic.
  • Knowledge of filing practices.
  • Knowledge of the techniques for handling telephone calls in a courteous and efficient manner.
  • Ability to compose routine correspondence.
  • Ability to follow instructions.
  • Ability to prepare reports and correspondence.
  • Ability to develop and implement office procedures.
  • Ability to take and transcribe dictation using notes or a dictating machine.
  • Ability to independently carry out minor administrative functions and general office duties.
  • Ability to organize files and other records.
  • Ability to perform basic arithmetical calculations.
  • Ability to use correct spelling, punctuation and grammar.
  • Ability to type letters, memoranda and other standard business forms in correct format.
  • Ability to operate general office equipment.
  • Ability to handle telephone calls in a courteous and effective manner.
  • Ability to plan, organize and coordinate work assignments.
  • Ability to establish and maintain effective working relationships with others.

    REQUIRED QUALIFICATIONS:

  • Must possess a high school diploma it its equivalent.
  • Must possess three years of secretarial or clerical work experience; or possession of a Certified Professional Secretary Certificate.
  • College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.
  • Vocational/technical training in the area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for each year of the required work experience.
  • A high school diploma or its equivalent can substitute for one year of the required work experience.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
