Resource Development Coordinator

Purpose of Position:
The Resource Development Coordinator will assist in planning, thanking, impacting and recognition of United Way donors.
The coordinator will collaboratively implement stewardship activities including acknowledging, reporting and planning program events and activities that cultivate and steward donors.
Directly assist multiple team members through functions such as database management, complex mailings, detailed donor reporting, donor relations, event assistance, and administrative duties.
Key Responsibilities and
Essential Functions:
Donor Relations and Administrative Draft written communications, edit and process outgoing correspondence, including mass mailing items and any additional communications and materials.
Provide exemplary support to volunteer committees by preparing agendas, assembling all key documents and PowerPoints, tracking RSVPs, taking minutes, etc.
Manage the department's inventory of materials needed to promote various programs, ensuring that materials are ordered in advance of mailing deadlines.
Support the Development Team in daily activities - managing department.
calendar/scheduling and email, recording and delivering accurate messages, managing filing systems, and other duties as assigned.
Manage and track budgets for the Resource Development department.
Prepare miscellaneous expense reimbursement requests, obtain necessary signatures and submit to the appropriate department.
Assist Resource Development team with donor correspondence.
This may include assisting with questions related to pledge forms and designations as well as responding to donor inquiries and other requests.
Convey a professional manner, curiosity and passion for the work and a proactive attitude toward assisting co-workers.
Perform other miscellaneous administrative duties as assigned.
Develop and maintain positive relations with all staff, departments, agency representatives, donors and volunteers.
Serve in a highly collaborative and supportive role to accomplish key projects.
Lead with a Donor Centric mentality.
Coordinate mailing birthday, sympathy, and holiday, and celebration cards to key donors and log appropriately; Organize and send other monthly mailings.
Database Management and Reporting:
Serve as a stewardship administrator within the CRM platform (StratusLive) working collaboratively with the Donor Services, Finance and Administration, and IT teams Prepare marketing lists for mailings in database (StratusLive).
Accurately prepare highly detailed reports, analysis, and correspondence as requested.
Assist with the receipt, recording, and processing of major gift contributions, Exceptionally maintain membership databases.
Submit new account, account duplication and other change and adjustment forms as needed.
Assist in the research for prospective donors, identifying targeted individuals and maintaining updated prospective donor database; provide analytical data and reports for donor retention and customer relationships.
Appropriately log donor contact information in CRM, keep the development team and executive leadership appraised of donor issues and questions; Document new departmental processes/procedures and update existing ones; Pursue continuing education and training in CRM as well as best practices in donor relations; Protect confidential information; and perform related duties as assigned.
Event Assistance:
Provide primary event coordination support for all major gifts and individual engagement events and meetings.
Event planning and day of the event logistics may include developing invitation lists, maintaining budget, processing invitations, tracking RSVPs, managing the registration process, tracking attendance, assuming responsibility for data entry, analysis and reports.
May also include helping with nametags, decorations, food, materials, speaker and sponsorship coordination.
Proactively assist with coordination and management of other special events, meetings, and activities as needed.
Experience/Position Requirements:
Associates Degree or equivalent from accredited two-year college or technical school preferred.
Minimum of 2 years' experience as an Coordinator in a busy office environment AA degree in Business/Communications may substitute for some of the work experience requirement.
Proficient with Microsoft Windows, Microsoft Word (including mail merge), Microsoft Excel (including sorting and basic formulas), Microsoft PowerPoint, Teams, and Zoom.
Exceptional attention to detail.
Demonstrated ability to communicate orally, in writing and through interpersonal skills.
Ability to work independently, selecting and applying appropriate reference materials.
High level ability to navigate the internet and other systems for donor research purposes.
Strong organizational and time management skills with the ability to prioritize tasks and responsibilities and meet critical deadlines.
Demonstrated ability to take the initiative and effectively manage multiple projects from inception to completion.
Talent for detecting and/or forecasting problematic issues and implementing (or suggesting) corrective actions.
Demonstrated problem solving skills.
Ability to learn department specific information and provide input.
Proficiency in database applications.
Experience with fundraising database systems preferred.
High degree of accuracy in working with statistical information and spreadsheets.
Ability to interact with high level donors with strong customer skills.
Ability to maintain confidential information.
Ability to work nights and weekends for events.
